Overview

This tool was designed as a scalable content update workflow for Rise courses. It enables exact-match global text replacement using exported XLIFF files, including both visible content and image alt text, and generates replacement reports to support review before republishing.

The Operational Challenge

Coordinated text updates across dozens or hundreds of courses are time-consuming and error-prone when handled manually. Hidden blocks such as accordions and accessibility fields make it easy to miss instances. During high-change release cycles, teams also need reliable counts to validate that updates were applied consistently.

AI-assisted discovery can help surface content, but it does not guarantee predictable counts or exact control when precision matters.

Design Decisions

Exact-Match Replacement
The workflow prioritizes exact-match updates over probabilistic or AI-driven approaches. The same input produces the same output, enabling predictable results and confident QA validation.

Accessibility Awareness
Image alt text is included in the replacement process to prevent terminology drift in accessibility fields, an area often overlooked during manual review.

Local-First Processing
All file processing occurs in the browser. Course content never leaves the user's machine. This reduces privacy risk and allows the tool to function offline once loaded.

Performance Impact

Manual updates that might otherwise require hours of repetitive editing are converted into a structured export-scan-import process that can be completed in minutes per course. Replacement counts provide visibility before republishing, reducing QA risk during release cycles.

Quick Start

This tool edits an exported XLIFF file. You will need to re-import it into Rise and republish for changes to take effect. Back up your course first using Snapshots or Duplicate.

  1. Open your course in Articulate Rise, go to Settings > Translations, and select Export XLIFF file.
  2. Open this tool and upload the exported .xlf file.
  3. Add pairs of original text and replacement text to apply across the course.
  4. Choose Process XLIFF. The tool will apply your changes and show a summary of which replacements were made.
  5. Download the processed XLIFF file. Optionally, download a CSV log of the results for your own records or reporting.
  6. Go to Settings > Translations in your Rise course and click Import translated text. Upload your modified file.
  7. Review your updated course content and re-publish to make the changes live.
